Board Meetings
According to Colorado law, homeowners are entitled to attend any board meeting. The Villas board has always formally invited and encouraged homeowners to attend the formal Quarterly meetings, including especially the one in November which is the "Annual Members' Meeting". These meetings have formal agendas, and minutes are published on the website. The board also has less formal board "worksessions" in those months where there is not a quarterly meeting. Homeowners are not formally invited to these, but the notice of them is in the board calendar, below, and we try to make the agenda for these available, and homeowners are allowed to attend -- but usually will not be invited to speak or participate. Finally, the board has occasional special meetings, sometimes on a single urgent topic. To reduce the friction of scheduling these we maintain a particular 1.5 hour period each week for these "check-in" meetings, if we need to have one.
So here is the list of our meetings, and below is the board calendar, where the meetings are held, etc.
Board Check-in is reserved time weekly for "if-needed" short informal meetings. Saves time trying to schedule meetings for issues that arise. Virtual attendance by Google meet, arranged by Dee. Josh usually does not attend these. Informal minutes are recorded, but are not published on the website.
Board Worksessions occur monthly. Virtual attendance is by MS Teams, set up by Josh. Committee chairs and some project leaders are invited. There is a formal agenda. Minutes are kept and posted on the website and on the Keystone portal.
Quarterly Meetings occur in February, May, August (the November one is the annual), and are oriented around Homeowner interaction. These occur in the evenings, and can be attended in person (at the BCC) or virtually, by MS Teams, set up by Josh. Minutes are kept and are posted on the website and on the Keystone portal.
The Annual Members' meeting occurs in November (the fourth quarterly meeting). This occurs in the evening, and can be attended in person (at the BCC) or virtually, by MS Teams, set up by Josh. Preparation for this meeting includes the vote on the annual budget and election of directors which occur before the meeting and results announced at the meeting. There are also annual reports by committee chairs and the board.
Coffee meetings are a recent development. These are informal chats that occur in the homes of volunteers or in the IAC or in driveway socials in the summer. Residents of one street are usually invited and meet with some board members. Informal minutes may be kept for aide-memoire, but are not published on the website.
